Pesticides and bio-inputs carry an expiry date. Old lots sit at the back of the godown and are found after the season, out of date and unsaleable.
Items can be batch-tracked with a manufacture date, an expiry and a shelf life, and a minimum shelf life on receipt catches short-dated deliveries at the door. Goods issue picks first-expiry-first, and a weekly mail lists the lots close to expiry.

A seed or pesticide lot is questioned in the field. Finding every dealer that received it takes days of going through invoices.
Every dispatch records the lot it took. The recall view traces a lot, or the supplier’s batch code, to every customer and parcel it reached, and customer returns go back against the lots they were dispatched from.
Stock is spread across the plant, depots and godowns, and nobody knows what is where when the season opens.
Stock is held by branch and godown, and down to the bin where you use them. Moves between godowns are recorded as transfers, and a move to a branch with a different GSTIN raises a tax invoice at cost. Items carry barcodes, and scanning finds the item and lot on receipts, issues, transfers and sale lines.
Demand comes all at once. The fast-moving product runs out in the first week of sowing.
Reorder points are checked every night, and reorder suggestions tell the buyer what to order before stock runs short.
Ask “what should I reorder this week?” and the assistant prepares the purchase order for you to confirm.
A fertiliser blend or a formulation is made from a notebook, and each batch uses a little more of everything.
Each product has a bill of materials per operation, with the wastage you expect at each step. Production orders draw the materials, the finished lot is linked to the input lots it used, and costing orders work out what a bag or a bottle really costs.
A raw material or a finished lot goes out before the lab has looked at it.
Quality-controlled items arrive on hold until a person with the clearance right releases them, with a reason. Quality specifications hold your own tests and limits, results outside them open an investigation, and a certificate of analysis is issued for the lot.
Dealers buy on credit at sowing and pay after harvest. Goods leave before anyone checks what is already outstanding.
Every buyer has its own credit days and limit, and an order is cleared for dispatch only when it is paid or within credit terms. Discount schemes are set once and attached to the buyer. Outstanding is aged in 1–30, 31–60, 61–90 and 90+ day buckets.
Ask “which dealers are over their credit limit?” before you release the next order.
Seed for sowing is exempt, fertilisers and farm machinery are at one rate, and insecticides and herbicides at another.
An agri-input HSN catalogue comes ready for seed, NPK fertilisers, insecticides, herbicides, farm machinery, sprayers and irrigation, and soil testing, with exempt seed marked as exempt. GST returns are built from the tax ledger, and purchases are reconciled against GSTR-2B.
