Ingredients and finished goods expire fast. The newest lot is picked first, and old stock is found when it has already gone off.
Items can be batch-tracked and marked perishable, with a shelf life and a minimum shelf life on receipt, so short-dated deliveries are caught at the door. Goods issue picks first-expiry-first, and expiry is worked out from the manufacture date. A weekly mail lists the lots close to expiry.
Ask “which lots expire in the next 30 days, and where are they?”
A supplier’s ingredient lot is suspect. Finding every finished batch that used it, and every customer that received them, takes days.
Each finished lot is linked to the ingredient lots it used. The recall view starts from your lot or the supplier’s batch code and traces it to every customer and parcel. Customer returns go back against the lots they were dispatched from.
An ingredient is used before anyone checks it.
Quality-controlled items arrive on hold until a person with the clearance right releases them, with a reason. Defect reports, ready with types such as foreign body, undeclared allergen, underfill and wrong date coding, carry the root cause and corrective and preventive actions. A Pareto view shows which defects keep coming back.
Recipes live in a notebook, and every batch uses a little more of everything.
Each product has a bill of materials per operation, with the wastage you expect at each step, normalised to a batch quantity. A recipe used by a live production order is locked, so it cannot change mid-batch. Operations come ready for food processing, from cleaning and sorting to carton packing.
A line stops for sanitation, an allergen changeover or a metal-detector reject, and the reason is never recorded.
Mixers, ovens, fryers, form-fill-seal machines and retorts are set up as work centres with their calendars. The shop floor screen starts, pauses and stops runs with the reason for every stop, and downtime reasons come ready, including allergen changeover, line sanitation and metal-detector hold. Utilisation and OEE show how much of each line’s time made good product.
Ask “how much downtime did the packing line have this week, and why?”
Ingredient prices move with the season, and the cost on file is months old.
Costing orders work out the cost of a batch from the recipe, wastage and overhead. The cost-drift view shows which products have moved away from their standard cost.
A key ingredient runs out and the line stops.
Material planning works out what open orders need against stock and open purchases, and proposes purchase and production orders for you to confirm. Reorder suggestions reach the buyer in time.
Ask “what should I reorder this week?” and the assistant prepares the purchase order for you to confirm.
Distributors want credit, and goods leave before anyone checks the money.
Every buyer has its own credit days and limit, and an order is cleared for dispatch only when it is paid or within credit terms. Discount schemes are set once and attached to the buyer.
Bakery, dairy, beverages and packaged food carry different GST rates.
A food-processing HSN catalogue, updated for the September 2025 rates, sets the rate by product type. GST returns are built from the tax ledger, and purchases are reconciled against GSTR-2B.
