Bookings live in a diary or a group chat. The same therapist or room is booked twice, and the front desk finds out when both customers arrive.
A day and week calendar shows every practitioner and room. A booking goes into a free slot, and the same practitioner or room cannot be booked twice. Bookings can be moved by dragging, checked in, completed or marked no-show, and a mistake can be undone. Practitioners have their weekly hours per centre, their role and dated certifications, and rooms have their type and capacity.
A customer buys ten sessions. Nobody knows how many are left, the package expires without a word, and the customer argues at the counter.
Session packages are sold prepaid, and the sessions go into the customer’s wallet, for one person or a group. Each visit uses a session. Packages carry an expiry date, a free extension within a set limit, and reminders by e-mail, SMS and WhatsApp before they expire.
A walk-in is served and billed on paper, and the visit never reaches the books.
A pay-per-visit booking raises the order, and completing the visit invoices it. A no-show is free unless the service carries a no-show fee. Products at the counter are sold as a counter sale.
Consultation notes are on paper or in a shared folder that anyone can open.
Clinical notes record concerns, findings, recommendations, advice, tests ordered and the follow-up date, and earlier versions are never overwritten. Only staff with the clinical right can see them. The front desk never does, and every read is logged with who, where and when.
A test is ordered, the sample goes to the lab, and nobody follows up until the customer calls.
Each test moves through a worklist: ordered, kit issued, sample collected, sent to the lab, result received, reported to the customer. Overdue steps are flagged. The lab’s report is filed against the test.
Oils, linen and products are used every day, and nobody knows what a session really costs.
Each service has a recipe of the consumables it uses. Completing a visit draws them from the centre’s stock, first-expiry-first, and bulk items are issued weekly. A report compares expected and actual usage, and the margin per service.
Each franchisee keeps its own books in its own way. Working out the brand’s share every month is a spreadsheet war.
Each centre has its own GSTIN, finance book and staff, and the brand cannot see into an independent franchisee’s accounts. Settlement runs monthly from the centres’ own books: the brand’s commission on delivered sessions, at each centre’s share, plus a share of retail. The brand approves the settlement, which raises the commission invoice and the centre’s purchase bill, and each transfer is marked paid with its bank reference.
